AND PRIVACY POLICY
§ 1. Purview
These Terms & Conditions and Privacy Policy are between participants of the Swing the Abbey Festival and Swing Dance Luxembourg association (organizer of the festival). By participating in the festival and entering the festival location you agree to these terms.
§ 2. Registration
The registration for the courses and parties of the festival is completed through a registration system on the homepage: https://www.swingtheabbey.com/registration2022/. By filling out and submitting this registration, the registering person is confirming their intent to participate in Swing the Abbey 2022. Participants registering as a couple need to fill the form separately and put their partners’ name in the corresponding box.
Submitting the registration form on the website does not guarantee participation in the workshop courses. The number of available spots for each course is limited and it is determined by the organizers. In case all the spots in any given group have been filled or there is a high imbalance between leads and follows, registrants may be put on a waiting list or their registration might not be accepted.
After the organizers can confirm the participants’ registration, the participant will receive an email confirming his/her registration together with payment information. The event fee is to be paid within 10 days after the confirmation email is received. If within 10 days after receiving the confirmation email the registrant hasn’t proceeded with payment, his or her registration may be canceled.
§ 3. Cancellation Fee, Cancellation of Contract
A. Cancellation by participants
In case of inability to attend Swing the Abbey 2022, participants can transfer their booking to any other person of their choice of the same role (leader/follower) and level, as long as the organizers are informed about the transfer at least one week before the beginning of the event.
In case of cancellation communicated to the organizers before 1st of September 2022, 75% of the participant fee will be refunded. In case of cancellation after 1st September 2022, no refund is possible. Business obligations, work- or business travels, illness, vacation or the lack of childcare cannot be accepted as a reason for refunding the fee after the 1st of September 2022.
B. Cancellation by Swing Dance Luxembourg association
Swing Dance Luxembourg association withholds the right to cancel the event, in order to comply with new governmental restrictions related to the covid-19 pandemic. In that case, Swing Dance Luxembourg association will refund the full participation fee to all participants, all the while making a call for donations in order to support all the artists involved.
4. Adjustment of Programme
The organizer and/or the venue reserves the right to make alterations to the published festival programme (teachers, bands and venues) where reasonably necessary. The Swing the Abbey organizers do not take responsibility for any cancellation of the instructors or the band members due to illness or any other reason. We suggest to regularly check our website and Facebook event page in order to be aware of potential updates.
5. Responsibility for Injuries and Personal Belongings
The Swing the Abbey 2022 organizers do not take responsibility for accidents or losses, thefts or harm that might occur to participants at Swing the Abbey 2022 for whatever reason. Damage claims against the organizers are not possible. The participants are liable for damages to rooms, objects and to third parties caused by themselves.
6. Behavior in the Venue
Smoking is not allowed in the venue. We ask you to wear dancing shoes or shoes with clean soles in the classrooms. Individuals who disturb the classes can be dismissed by the organizers.
7. Safe Environment
We believe in creating an environment where people in the swing dance community can learn, dance, grow and feel safe. Discrimination or harassment on the basis of sex, gender, national origin, ethnicity, religion, race, sexual orientation, disability or any other ground will not be tolerated. The participants and organizers promise to work together to keep dance spaces and venues safe and welcoming for all people.
By registering and accepting these terms, participants declare that they have read and agree with the organizer’s safe environment guidelines to be found here.
Participants who experience discrimination, harassment or violence are invited to trust and approach any organiser of Swing the Abbey 2022 of their choice on a confidential basis. We will listen attentively and define the measures to be taken together with the person concerned. We believe that we can work together on a trustworthy and confidential basis.
8. COVID related measures
Swing the Abbey will in all circumstances be held in compliance with any covid related rules applicable in Luxembourg. While currently no restrictive measures apply to festivals such as Swing the Abbey, the legal situation might change. The Swing the Abbey organizers commit to share information on potential relevant changes and to inform participants on eventual changes.
By signing up for the event, participants agree to comply with any covid related rules applicable in Luxembourg at the time of the festival. 9. Privacy policy
By filling out and submitting their registration, the registrant agrees to the processing of his/her personal data (Name, Surname, Email and Country) by the Swing Dance Luxembourg organizers as necessary for the completion of the registration process. We only collect personal information that is necessary to meet our business needs and to provide you with the services you have requested.
All workshops and social events are held in public spaces. Photographs and videos may be taken at these occasions and we may publish such photographs or videos without additional express consent of the participants. Swing Dance Luxembourg will not use such photographs or videos for purposes other than documenting or promoting the activities of the festival and the association. Should you have any questions or concerns regarding your image being taken at one of our events, please contact us in advance.
Our website uses analytical cookies which allow us to recognize and count the number of visitors in an anonymous form and to see how visitors move around the site when they’re using it. This helps us to improve the way our website works. In order to do this we use Google Analytics, a web analytics service provided by Google, Inc. (“Google”).
